A student accommodation lamp order is complete when every allocated study desk has a usable light, the right power components and a clear replacement route. Buying enough lamp bodies is only part of that job.
For residence operators, student housing developers and furniture suppliers, the best starting point is a room schedule. Decide which desks need lamps, how residents will power them and what your team must check before handing over the room. Then compare models against that brief.
Desk lighting is an established part of some accommodation inventories: the University of Bath lists a desk lamp among its standard bedroom provisions. That is an example of the purchasing need, not a RoyeLamp customer reference or a specification for other residences.
Evaluate RY26-A for desks with a planned external power source and a need for adjustable, freestanding task lighting. Compare RY22 where rechargeable operation and integrated pen storage serve a defined use case. Approve the complete lamp-and-power arrangement in a representative room before ordering for the building.
Start with the room and ownership schedule
Count study positions rather than assuming that every room needs the same allocation. A shared bedroom can have more than one desk; a studio may already include a built-in light; refurbished rooms may retain serviceable lamps. Keep communal study areas separate because their usage and responsibility arrangements can differ.
Next, decide who owns the lamp. An operator-owned room asset needs an inventory entry, a condition check and a replacement process between tenancies. A resident-owned welcome-pack item needs clear contents and support information, but it should not also be counted as a recoverable room asset.
On a phone, swipe within the planning table.
| Project situation | What to specify | Why it changes the order |
|---|---|---|
| Standard furnished study bedroom | Desk layout, socket position, lamp location and included power components | Defines the repeatable room configuration |
| Shared bedroom | Number of study positions and likely seated viewing directions | One lamp per room may not cover the intended allocation |
| Refurbishment with existing lamps | Units approved for reuse, including compatible cables and power supplies | Reduces purchasing only when complete sets pass inspection |
| Resident-owned move-in pack | Ownership, packaging, instructions and support contact | Changes labelling, handover and replacement responsibility |
Also record accessible-room requirements individually. Reach, control location and usable desk space should be reviewed with the project team; a standard-room sample cannot establish suitability for every resident or layout.
Choose a model for the operating routine
A useful shortlist explains how each model will be used and supported. Here are two RoyeLamp formats with different roles in an accommodation project.

RY26-A: adjustable lighting for a standard room setup
RY26-A combines a freestanding base, three-axis folding, five colour-temperature modes and five brightness levels. It is a practical sample candidate when residents need to adjust the light between a laptop and a reading or writing position.
The integrated phone holder gives the base an additional desk function. Its USB output is for cable charging; the listed configuration does not include a wireless-charging pad.
Make the power arrangement part of the purchase. The product page lists a Type-C power input. Confirm the required external power source, supplied cable and any device-charging expectations in the quotation. Do not rely on each resident bringing a suitable adapter.
For this format, put the sample beside the actual laptop, books and storage accessories. Check the base footprint, head position and cable route. The foldable structure may help with repositioning and storage; the room trial should establish whether the joints hold the positions residents will use.

RY22: a compact study-light and pen-storage option
RY22 combines a flexible neck, pen-holder base, phone-support position and rechargeable operation. The listed lighting controls offer three colour temperatures and three brightness levels, with a separate multi-colour ambient-light function.
Consider it for a resident-owned study pack or another arrangement where the user has a clear charging routine. The integrated storage can be useful when the desk has limited space for separate accessories.
Approve runtime for the intended settings. Published battery capacity is 2000 mAh, with up to four hours of use depending on mode. That is not an all-night study guarantee. Test the requested lighting duration, charging time and low-battery behaviour on the sample.
Product images illustrate the models and their functions; they are not photographs of a completed student accommodation project. Confirm the ordered finish and configuration on the approved sample.
For operator-owned rechargeable lamps, decide how staff will distinguish a discharged battery from a fault and how units will be stored between occupancies. A common charging procedure and identifiable power components can make that support conversation clearer. If the project needs continuous use without a resident charging routine, discuss an externally powered configuration first.

Run a representative-room sample check
Set up the lamp in a furnished room, with the normal room lighting, desk, chair and socket arrangement. Include every materially different desk layout in the approval process. An empty meeting-room table cannot reveal a cable that is too short for a bedroom socket or controls hidden behind a laptop.
Check light where it is used
Place a notebook and laptop in their normal positions. Adjust the head and brightness, then check screen reflections and direct visibility of the light source from the chair.
Test the supplied combination
Use the proposed cable and power source. Check routing, connection access and any charging feature you intend to include in the room description.
Try an unprompted first use
Ask someone unfamiliar with the lamp to switch it on and adjust it. Record any explanation needed, including ambient-light controls and behaviour after reconnection.
Rehearse the staff check
Inspect stability, movement and visible damage; check the approved cleaning instructions and complete accessory set. For RY22, include charging and runtime observations.
Keep a short approval record with the model, finish, power components, room type, photographs and unresolved questions. Ask RoyeLamp to confirm the written configuration and the destination-market documents your procurement team requires. A product-page description alone does not establish compliance for your project.
Where you need detailed brightness measurements, use our desk lamp illuminance and coverage guide to define a repeatable comparison. Keep this accommodation trial focused on the room configuration you intend to repeat.
Calculate quantities and replacement stock separately
Build the order from the approved room schedule, then add a deliberate service-stock allowance. Separate that reserve from the installed allocation so that early replacements do not silently consume lamps intended for unopened rooms.
A project plans one lamp at each of 240 study positions, chooses a 12-unit service reserve and has 18 complete existing sets approved for reuse. The resulting new-lamp requirement is 240 + 12 − 18 = 234 units.
The 12-unit reserve is an example planning assumption, not a recommended failure rate or a RoyeLamp performance estimate. Set your allowance using the time needed to replenish stock, your service expectations and any relevant operating history.
Request a line-by-line quotation for the selected models and finishes. Confirm the lamp, required power components, manual, packaging, branding and shipping basis. If the order is split between RY26-A and RY22, show the quantity of each; a combined total does not establish that each configuration meets its MOQ.
RoyeLamp’s published starting terms are MOQ 10 units without a custom logo and 100 units with a logo, with paid samples available. Confirm applicability to the selected model and finish. The listed 15–30-day lead time is subject to order confirmation; sample approval, transit, receiving inspection and room installation need separate time in the project schedule.
For ongoing replacements, agree how to identify the ordered version and what support or replacement components are available. Our spare-parts procurement guide explains the details to settle before treating a replacement route as established.
Prepare a handover your site team can repeat
Plan delivery around when staff can receive, check and place the lamps, rather than using student arrival day as the delivery target. If cartons must be split by building or floor, request that packing or labelling arrangement in the quotation and confirm its cost and feasibility.
Give the installation team a simple room checklist:
- Allocation: the correct model and complete power set are present at each scheduled desk.
- Placement: the base is stable, the head can be positioned and the cable route does not interfere with normal furniture movement.
- Function: the lamp switches on and the approved controls work; rechargeable units follow the agreed charging check.
- Information: residents can find basic instructions and the correct support contact.
- Inventory: record installed units, reserve stock and any items held for investigation separately.
For the first delivery, check one fully unpacked room setup before distributing the remaining cartons. If a mismatch appears, resolve it while the affected stock is still identifiable. Preserve the approved sample and order record for later replenishment.
